GolfCode - privacy and security policy

We want to show our commitment to you, and are pleased to outline the following policies and procedures, which sets out what we do and don’t do with the information we collect via the GolfCode website.

This Privacy and Security Policy discloses the policies and practices for this website ('the Site') under the domain and any sub-domains of www.golfcode.com.

The privacy and security of your personal data is important to GolfCode Ltd. Any personal information collected from the www.golfcode.com website will be used by GolfCode Ltd only. We do not sell or rent your personal information to third parties for marketing purposes without your consent and we only use your information as described in this privacy and security policy.

The information we collect

When you register to become a user of GolfCode, you submit information such as your name, postcode/zip code and email address. Over time you may provide or we will ask you to provide additional information which will extend your personal profile so we can increase our ability to ensure relevance of any messaging. You can review and revise your personal profile at any time.

We also collect other non-personally identifiable data, which may include:

  • Site user information collected includes IP addresses and browser types.
  • The number of current memberships – personal, participating Golf Clubs/Societies and Golf Club professionals
  • The type and number of items found, claimed and unclaimed
  • Information on a found item and the finder's contact details if appropriate
How we use the information we collect

GolfCode member’s privacy and security is one of our guiding principles. Without requesting express permission or where required by law, GolfCode Ltd will not sell, rent, or lease any personally identifiable information to any 3rd Party. Any communication with 3rd parties will comply with their own privacy policies with regard to the renting, selling, or sharing of information.

We do use your information in the following manner for the following purposes:

  • We will use your name so that we can personalise your experience.
  • We may use non-personally identifiable information, like your IP address, to statistically analyse site usage and to customise our site's content, layout and services. The resulting information will allow us to improve our site and better understand and serve our users.
  • We may monitor the number of current memberships and number of items reclaimed for public information display on the Site for our own statistical purposes
  • We use the personal information you choose to provide us with in order to better understand your needs and enable us to continually improve our services
Use of e-mail and/or postal addresses

We will use your email and/or postal address to contact you from time to time. Your email address will also be used for security reasons to confirm that you are who you say you are at the time of registration or thereafter when and if required.

As a GolfCode Ltd member we will primarily use your email address for membership management purposes, including registration, status, expiry, renewal and found items.

GolfCode Ltd may occasionally email you with information about products and services (including those of others), which we believe, may be of relevance and/or interest to you. You have the right to opt-out from this and can do so at the time of registration or by logging into your GolfCode account and editing your profile settings at any time.

Use of Cookies

As is widely commonplace, GolfCode Ltd may use "cookies", and may obtain certain types of information when your Web browser accesses our Site. Cookies are a standard Internet technology, and many major websites use them to provide useful features for their members. Cookies allow us to store and retrieve login information on a user's system. They provide us with data that we can use to improve the quality of our service and make it easier to use. Most browsers are initially set up to accept cookies. If you'd prefer, you can set yours to refuse cookies. However, you may not be able to take full advantage of our website if you do so.

Information security

GolfCode Ltd will maintain log files of Site traffic but will not link any information gathered to personally identify information. Such files are merely used to enable GolfCode Ltd. to continue to provide reliable service and make improvements as necessary by managing information, traffic loads and information technology requirements.

All information is stored and processed on our servers located in the United Kingdom which have both physical protection and technological security devices.

Regular tests for security breaches are carried out so to ensure all collected data/information is fully secure from unauthorized access and/or viewing and such information gathered is stored and maintained in secure facilities that explicitly limit access to GolfCode Ltd authorised personnel who can only access the information through a series of access-control procedures.

GolfCode Ltd personnel (and any 3rd party IT contractors) are regularly briefed about our privacy and security policies. 

Notification of policy changes

GolfCode Ltd reserves the right, at its discretion, to change, modify, add and/or remove elements of this privacy and security policy at any time and without notice. Any such modifications will be effective immediately they appear on the GolfCode website.

Please refer back periodically to the privacy and security policy for any such changes. Continued GolfCode website use is deemed to indicate that you accept the modified privacy and security policy at the time of usage.
